Defects partly fixed: separate done and open items cleanly

The most dangerous state is the mixed one: some things look finished, others do not — and nobody records what counts. That is when deadlines and responsibilities blur. Separate fixed and open items clearly before anything is treated as done.

Treating partial work as complete

"Already better" is not "fixed". Check the protocol item against the original defect, not the overall impression.

Mixing the lists

If fixed and open items sit in one unclear note, it is hard later to prove what was agreed.

Missing consequential damage from remedial work

Remedies can damage adjoining surfaces. Record that as a new or added item.

No interim confirmation

What counts as fixed should be traceable with date and photo — not only verbally.

What to document now with a mixed status

  1. Grade each item individually: fixed, partial, open

    Assign each entry clearly and mark it as fixed, partial, or open.

  2. Secure fixed items with current photos

    Photograph overview and detail for each completed item. Always record the current date.

  3. Note open items with remaining description and deadline

    Document what is still missing as concretely as possible — location, remaining defect, and concrete date for re-inspection.

  4. Record new concerns separately

    Do not squeeze consequential damage into old items, but clearly add them as new concerns.

  5. Send separate list in writing

    Send the list of fixed and open items to the responsible person. Request a receipt confirmation.
